CypherMeet — Privacy Policy

This Privacy Policy explains what personal data CypherMeet ("the Software"/"the

Service") collects, why, how it is used and shared, how long it is kept, and the

rights you have. It is written to align with India's **Digital Personal Data

Protection Act, 2023 (DPDP Act)** and general privacy best practice.


1. Who this applies to

This policy applies to individuals ("you", "Data Principal") who install or use the

CypherMeet desktop application, purchase a licence, or use our website and related

services.

2. Design principle: local-first

CypherMeet is local-first. By default, your meeting transcripts, notes, AI answers,

and knowledge-hub documents are stored on your own device, not on our servers. We

only receive the categories of data described below, and cloud storage happens only

if you explicitly enable and pay for the optional Cloud Sync feature.

3. What we collect and why

3.3 Content data

We collect only what is necessary for the purposes above (**purpose limitation and data

minimisation). We do not sell your personal data. We do not** use your private

meeting content to train models.

4. Legal basis / consent

We process your personal data on the basis of your consent (given when you accept

this policy, create an account, or enable a feature) and, where applicable, to perform

our contract with you, to comply with law, and for certain legitimate uses permitted

under the DPDP Act. You may withdraw consent at any time (see §9); withdrawal does not

affect processing already carried out and may limit features that require the data.

5. Third parties and "Bring Your Own Key" (BYOK)

To operate, the Service shares limited data with processors acting on our instructions:

  • AI / transcription providers (e.g., OpenAI, Anthropic): receive the audio/text you submit to generate answers. Their handling is governed by their terms and privacy policies.
  • Payment gateway (e.g., Razorpay / an equivalent): processes payments and stores billing details.
  • Cloud infrastructure (e.g., AWS / GCP): hosts Cloud Sync data and licensing, if used.
  • Email/communication and analytics providers: send essential emails and measure aggregate usage.

BYOK: If you supply your own AI provider API key, requests go to your provider

account under their privacy policy and at your cost; you are responsible for that

key and its usage. We do not control or receive your provider-side data.

6. International transfers

Some processors may store or process data outside India. Where they do, we rely on the

provider's safeguards and applicable legal mechanisms. By using the Service you consent

to such transfers, subject to applicable law.

7. Data security

We apply reasonable technical and organisational measures (encryption in transit; for

Cloud Sync, encryption at rest; access controls; least-privilege). No method is 100%

secure. You are responsible for securing your own device, account credentials, and any

BYOK API keys. In the event of a personal-data breach affecting you, we will notify you

and the Data Protection Board as required by the DPDP Act.

8. Data retention

  • Local content: kept on your device until you delete it or uninstall (uninstalling can also remove local app data).
  • Account/licence data: retained while your account/licence is active and for a reasonable period afterward to meet legal, tax, and dispute-resolution needs.
  • Cloud Sync content: kept while your subscription is active; deleted within a reasonable window after cancellation or on your request.
  • Diagnostics: kept for a limited period, then deleted or aggregated/anonymised.

9. Your rights (Data Principal rights under the DPDP Act)

Subject to the Act, you may:

  • Access — request a summary of the personal data we process about you.
  • Correction / update — ask us to correct inaccurate or incomplete data.
  • Erasure — ask us to delete your personal data (subject to legal retention needs).
  • Withdraw consent — at any time.
  • Grievance redressal — raise a complaint with our Grievance Officer.
  • Nominate — nominate another individual to exercise your rights in case of death or incapacity.

To exercise any right, contact contact@cyphermeet.com. We will respond within the

timelines required by law. If unsatisfied, you may escalate to the **Data Protection

Board of India**.

10. Children

The Service is not intended for individuals under 18. We do not knowingly collect

data from children. If you believe a child has provided data, contact us to delete it.

11. Cookies / website

Our website may use essential and analytics cookies. You can control cookies via your

browser. (Detail this in a Cookie Notice if you add non-essential cookies.)

12. Changes to this policy

We may update this policy; material changes will be notified via the app or email.

Continued use after an update means you accept the revised policy.
